Public Events Policy

Hanae Harmony

1. Cancellation, Rescheduling & No-Show Policy

1.1 General Cancellation Terms

  • All payments and deposits are non-refundable with the exception that Hanae Harmony cannot fulfil the service whereby refunds are permitted.

  • A booking for a public event or 1-1 private sound bath is date-transferable only if more than 48 hours’ notice is given (Floating Sound Baths are not included in this policy) 

  • If less than 48 hours’ notice is provided, no alternative date will be offered and the booking is lost

1.2 Floating Sound Baths, Private Events and Events in partnership with another provider

  • Non-refundable and non-date transferable, as explicitly listed before checkout.

  • All bookings are welcome to give their space to someone they know which can be organised independently. The Health & Safety form will need to be filled out by the new participant.

1.3 No-Shows & Late Arrivals

  • No-shows forfeit their deposit or full payment (whichever was paid).

  • Late arrivals are not eligible for refunds or extended session time, and the session may be shortened at the practitioner’s discretion. CCTV monitoring at any venue may be used to determine the arrival time

1.4 Chargebacks from Bank Provider

  • Payments are non-refundable in cases where the client cannot or doesn't attend

  • Non-refundable where the client has attempted a bank chargeback without prior communication or authorisation.

    Such attempts will result in refusal and blocking of all future services. Evidence submitted to any bank provider will determine the appointment going ahead. Terms and conditions agreed to before checkout will determine understanding of the policy by the client.

 

Private Bookings

Payment, Cancellation & Refund Policy

1. Scope of This Policy

1.1 This policy applies to all bookings made with Hanae Harmony, including but not limited to:

  • Earth Packages – Sound Bath Experiences

  • Floating Packages – Floating Sound Bath Experiences

  • Fire Packages – Gong Bath Experiences

  • Private Group Tarot Readings

1.2 This policy covers all group sound bath and experiential bookings, including (but not limited to) charity events, festivals, corporate events, hen dos, parties, and private functions.


2. Booking, Invoicing & Payment Terms

2.1 All payments will be invoiced by Hanae Harmony. Payment details and due dates will be clearly stated on the invoice.

2.2 A 50% non-refundable deposit is required to secure your booking and reserve the date.

2.3 The remaining 50% balance is due no later than 14 days before the event date.

2.4 For events booked within 30 days of the event date, the full balance is due immediately upon receipt of the invoice.

2.5 Bookings are not confirmed until payment has been received.

2.6 Hanae Harmony works with clients who share an intention for positive, respectful, and well-managed outcomes for their communities.

2.7 Any payment that is more than 48 hours overdue and requires chasing will result in the automatic cancellation of the booking, with any deposit forfeited.


3. Package Size & Participant Numbers

3.1 Packages are booked and priced based on the number of participants selected at the time of booking.

3.2 Once a package has been booked, the agreed number of participants is fixed and cannot be reduced.

3.3 If fewer participants attend than originally booked, the booking will still be charged at the original number of participants booked.

3.4 No refunds, partial refunds, or credits will be issued for non-attendance or late changes in participant numbers.

3.5 The client is welcome to replace any unavailable participant with another person, provided they meet all health and participation requirements outlined in this policy.


4. Cancellation & Rescheduling Policy

4.1 All payments are non-refundable, except where the event is cancelled entirely by Hanae Harmony in accordance with Section 10 (Force Majeure).

4.2 Cancellations made more than 30 days before the event date will result in the deposit being carried forward and credited towards one future booking made by the same client, subject to availability.

4.3 The deposit credit is non-transferable, may only be used once, and must be used within 3 months of the original event date or it will expire.

4.4 Cancellations made within 30 days of the event date will result in the loss of the deposit.


5. Rescheduling Where Venue Hire Is Included

5.1 Where a booking includes third-party venue hire arranged or secured as part of the booking, rescheduling may not be possible, even if the request is made more than 30 days in advance, due to venue hire terms and third-party cancellation policies.

5.2 Any venue hire costs already incurred may be non-recoverable and may be lost by all parties.

5.3 By confirming the booking, the client agrees to cover any venue hire costs that cannot be recovered as a result of cancellation or rescheduling.

5.4 Hanae Harmony cannot be held responsible for third-party venue policies or losses.

5.5 Where possible, Hanae Harmony will make reasonable efforts to support rescheduling, but this cannot be guaranteed when third-party costs are involved.


6. Changes to Booking (Time & Date)

6.1 Requests to change the time of an event on the same date are subject to availability and are entirely at the discretion of Hanae Harmony.

6.2 Hanae Harmony is not obliged to accommodate time changes.

6.3 Date changes are treated as cancellations and may fall under the cancellation and venue hire policies above.


7. Health & Liability Disclaimer

7.1 By making a booking, the organiser confirms that all participants have been informed of the nature of the experience and have confirmed that they do not have any health conditions that may make participation unsafe.

7.2 Certain sound, vibration, or meditative experiences may not be suitable for individuals with specific medical or mental health conditions.

7.3 It is the responsibility of the organiser to ensure all participants are fit to take part.

7.4 Hanae Harmony accepts no liability for any adverse effects experienced as a result of undisclosed health conditions.

7.5 Participation is voluntary and at the participant’s own risk.

 


 

8. Travel & Additional Charges

8.1 Mileage: £0.45 per mile for travel outside a 15-mile radius of postcode HP11.

8.2 Porterage Fee: A flat fee of £20 will be charged if parking is not available directly outside the premises.

8.3 Congestion Charge: Any applicable London congestion or road charges will be passed on to the client.


9. Acceptance of Terms

9.1 By making a booking and submitting payment, you confirm that you have read, understood, and agreed to this Payment, Cancellation & Refund Policy in full.


10. Force Majeure

10.1 Hanae Harmony shall not be liable for any failure or delay in performing its obligations where such failure or delay results from events beyond reasonable control.

10.2 Such events may include, but are not limited to: acts of God, severe weather, illness or injury, government restrictions, pandemics, strikes, transport disruption, power failure, venue closure, or any other unforeseen circumstances.

10.3 In the event of a Force Majeure occurrence, Hanae Harmony reserves the right to cancel or reschedule the booking.

10.4 Where cancellation occurs due to Force Majeure, the client will be offered either:

  • A full refund, or

  • The option to reschedule (subject to availability)

10.5 Where venue hire is organised directly by the client, and a Force Majeure event is cited, the client may be required to provide reasonable written evidence from the venue or third-party provider confirming the nature of the disruption, cancellation, or any non-recoverable costs.

10.6 Hanae Harmony is not responsible for losses incurred due to third-party venue policies where sufficient evidence cannot be provided.
